Mass Import Tool

Lease Administrators can use the Mass Import tool to import Excel files into a staging area and validate the data before merging it into the main application data. The files are validated on the file format and on the data.

Note: This tool can only be used to create master agreements and contracts. It cannot be used to modify existing master agreements and contracts that are in Define status.

If the file is validated, the data can be merged from the staging area to the production data. If the validation fails, the list of errors is displayed and an error report can be exported.

Note that the Display ID values for MLAs, contracts, and lease components cannot fall within the configured number range for each of these objects. For example, if the configured range for MLA Display IDs is LA1000 to LA1999, the MLA Display ID in the Excel file can be MLA1000 or LA2000. Alternatively, if you do not have the option to use a different Display ID, you can contact your system administrator to modify the configuration for the Number Range table in the Nakisa AdminConsole.

Users have up to a maximum of 20 staging areas at one time, and can upload up to five files of 2,000,000 bytes each per staging area. Note that contract imports are also limited to 1000 main entries in the "Contract" tab on the Excel file. If five files have already been uploaded, users must delete files to be able to upload more. Note that imported files can only be removed once they have been replaced with another file.

Note: The Mass Import tool is disabled by default. Contact your system administrator to enable this feature.

To mass import master agreements or contracts:

  1. The Mass Import Tool is available in the main menu and in the Master Agreement context menu. To open the mass import page:
    • Click Main Menu > Import/Export Information > Mass Import MLA & Contract, or
    • For master agreements, click Context Menu > Mass Import Tool. The Mass Import Tool page opens.
  2. Click Add Staging Area. A Create Staging Area pop-up appears.
  3. Select the System, and Import Type.
  4. Enter a Staging Area ID and optionally a Description.
  5. Click Submit. The staging area is created.
  6. Click on the staging area line. The staging area page opens.
  7. Click Upload File and:
    • Browse to open an existing .xlsx Excel file.
    • Download Template to create the Excel file to import.
  8. Click Validate File. The File Validation Result in the lower panel lists potential errors. Make sure that the system value on the file is correct.

    Warning: If there are errors, the file has to be corrected and imported again. To export an error report, in the Data Validation Result panel, click Download Report.

  9. Click Import File, then Validate Data.

  10. Click Merge. The imported data is merged with the actual leasing data and appears on the Master Agreements or Contracts page.
