Posting Batches

Users with Accountant roles can create posting batches using the steps outlined on this page.

Note: Line items are not displayed in posted documents until the batch finishes posting all documents for the activation group.

To create a posting batch:

  1. Click Main Menu > Batch Management > Create Batch.
  2. Set the Batch Type to "Batch Posting".
  1. On the Definition page, modify the following information, if required:
    1. Click to change the object type for the Target Level. Note that depending on the batch type, the Target Level may be automatically selected and cannot be changed.
    2. Enter a new Batch Name.
    3. Click at the top of the page. Note that you cannot leave the page until it is either saved, or reset to the previous saved version.
  2. In the left-panel, click Actions.
    1. Select the action that you would like the batch to do. Note that depending on the batch type, some actions may be automatically selected and cannot be changed.
    2. Click at the top of the page. Note that you cannot leave the page until it is either saved, or reset to the previous saved version.
  3. In the left-panel, click Filters to determine which objects the batch should be run on. It is possible to filter batches based on application objects such as, master agreements, contracts and activation groups, or by specific criteria (such as System, Lease Area, etc.).
    • To filter a batch:
      1. In the Filters drop down menu, select "Default".
      2. After setting each field, click . You can select more than one option per field.
      3. Click at the top of the page. Note that you cannot leave the page until it is either saved, or reset to the previous saved version.

      Note: If intercompany transfers have been applied, the application will use either company code and cost objects of the original company or of the new company based on the batch target level and action type. See Intercompany Transfers for more information.

    • To select batches based on specific application objects such as, master agreements, contracts, or activation groups (instead of filters). Note that different options may be available depending on the selected batch type.
      1. In the Filters drop down menu, you can select one of the following options (if available):
        • Bulk Master Agreements
        • Bulk Contracts
        • Bulk Activation Groups
        • Bulk Units
      2. For certain batch types, select a System or Company.
      3. Select one or more object IDs for the specific batch, and click .
      4. Click at the top of the page. Note that you cannot leave the page until it is either saved, or reset to the previous saved version.
  1. In the left-panel, click Inputs to add more information and set the fields used:
    1. For Posting batches:
      1. Define which dates should be used in the posting document:
        • Click Use Schedule Period Dates to use the dates from the schedule period as the Posting Date, Translation Date, and Document Date in the posting document. For example, the application will set the Posting Date to the month-end dates for asset depreciation and accrual postings, and to posting payment dates for payment postings.
        • Otherwise, set specific dates in Posting Date, Document Date, and Translation Date.
        • If no dates are specified, the application uses the batch run date for all of these dates.

        Note: The Translation Date field can only be used when Parallel Currency is enabled.

      2. If required, select the checkbox Skip Items with Open Draft. When this checkbox is selected, the batch does not post transactions for contracts or activation groups with an open draft.
    2. For Reversal batches, select the Reversal Reason in the drop-down list.
    3. Define which postings should be picked by the batch:
      • Set the Post From and To or Reverse From and To to only pick up postings within the date range. The application compares these fields with the Posting Payment Date for rent payments and Month End Date for accrual and depreciation postings to determine which ones need to be posted.
      • Instead of selecting a specific end date in the To field, you can select the Today checkbox, and optionally select +/- Days from Today (where "Today" refers to the date that the batch is generated).
      • If a Post or Reverse From date is not specified, the batch picks up all available postings up to the Post/Reverse To date or based on the Today checkbox if it was configured.

    Note: For the Post All or Reverse All batch action, there is a chance of simultaneous postings in the same period, which can cause postings to fail. In that case, re-run the batch to pick up those failed postings.

  2. Optionally, to display the estimate of how many objects match the conditions set, click Batch Items: Calculate in the gray header.

    Tip: In case of an error, refine the filter settings for a smaller batch.

  3. To generate the batch items, click at the top of the page. All of the matching objects are listed on the Batch Items page. The batch status changes from "Draft" to "Ready".

    Note: For Posting batches, the page lists all activation groups that match the batch criteria. The application does not consider whether there are actual open postings for the activation groups.
