Adding a Premises

For each location, you will always have to create at least a head premises (and optionally sub-premises), based on the occupancy of the property. If required, you can add multiple head premises to the same location. For example, if your business rents one floor of a building (which is your first head premises) and then in a subsequent year, expands and rents a second floor, you can then add a second head premises to the same location.

If there is a head premises and sub-premises, the head premises will have multiple occupancies (to indicate the use of the sub-premises), and the sub-premises will have only one of these occupancies. The possible occupancies are:

  • Leased Externally: Part of the principal leased area is leased externally to another business.
  • Leased Internally: Part of the principal leased area is leased internally to another division of the same business.
  • Occupied: You are occupying part or all of the principal leased area.
  • Vacant: Part or all of the principal leased area is not used and is vacant.

To add a head premises:

  1. Use one of the following options to create the premises:
    • From the Premises summary page: 
      1. In the application menu, click Main > Premises.
      2. In the summary page menu at the top of the page, click .
    • From an existing location: 
      1. In the application menu, click Main > Location and open the location to which you would like to attach a premises.
      2. In the Actions section at the top of the page, click Create a Premises.
  2. In the Create Premises window:
    1. If the Location field is not already set, select the one that the premises is attached to.
    2. The switch Head Premise is automatically enabled.
    3. Click Next.
  3. Enter the general information, group, and date information relevant to your premises. Note that for the Occupancies field, you must select all of the options that will also be used for any sub-premises attached to this head premises.
  4. Click Save.

To add a sub-premises:

  1. Ensure that the head premises is already active.
  2. Use one of the following options to create the lease:
    • From the Premises summary page:
      1. In the application menu, click Main > Premises.
      2. In the summary page menu at the top of the page, click .
    • From an existing location:
      1. In the application menu, click Main > Location and open the location to which you would like to attach a premises.
      2. In the Actions section at the top of the page, click Create a Premises.
    • From an existing head premises:
      1. In the application menu, click Main > Premises and open the head premise to which you would like to attach a sub-premises.
      2. In the Actions section at the top of the page, click Create a Sub-Premises.
  3. In the Create Premises window, set the following fields if they are not already automatically populated:
    1. If the Location field is not already set, select the one that the premises is attached to.
    2. Disable the switch Head Premise.
    3. Select the Parent Premises to which this sub-premises belongs to.
    4. Click Next.
  4. Enter the general information, group, and date information relevant to your premises. Note that for the Occupancies field, you can only select an occupancy that was already selected for the head premises.
  5. Click Save.
