GL Balance Report Jobs

You can create and run jobs to generate the GL Balance Reports. The GL Balance Report Jobs page displays all of the report jobs that have been run, but you can only download the reports that you generated yourself.

Note that before running a job, there must be at lease one profile defined.

Once a job is created, it is queued to generate the report as soon as possible. The report job can be canceled while the status is "Scheduled" or while the job is in progress. Once the report job has completed, you cannot delete or cancel the job.

Note: If there is a service interruption that prevents the completion of the job while it is running, the job status changes to "Interrupted". The application will attempt to recover the job as soon as possible. If the job is recovered, it will resume from where it was interrupted. If the job cannot be recovered within the time limit specified in Financial Organization Structure, the status remains "Interrupted" and you must run the job again.

You also have the option to schedule the report to be generated at a later time on the Scheduled Jobs page. You can set scheduled reporting jobs to run hourly, daily, weekly, or monthly. You can edit, disable, or delete them at any time from this page. Once the job runs, it appears on the GL Balance Report Jobs page. You can click on the Profile to view the profile settings at the time that the job was run. Note that if the profile is modified, it will affect the scheduled job the next time it runs.

Note that the Executor column identifies if the job was triggered by a user (Manual) or if it was a scheduled job (Scheduler).

To generate the report:

  1. Click Main Menu > GL Balance Reports > Jobs.
  2. Click .
  3. Enter a Name for the report.
  4. Select a Profile.
  5. Select either a Date Range Type or select a date range by manually defining years and periods.
  6. If Date Range Type is selected:
    1. Select a Date Range Type for the report:
      • "Document Date": The report will cover transactions with Document Dates in the range defined in the Period Start and Period End fields.
      • "Transaction Date": The transaction date refers to the date when the transaction was created. The report will cover transactions with transaction dates in the range defined in the Period Start and Period End fields.
      • "Posting Date": The report will cover transactions with Posting Dates in the range defined in the Period Start and Period End fields.
    2. Enter a Period Start and Period End for the selected Date Range Type.
  7. If you wish to manually enter a date range, fill in the following fields:
    1. From Year and To Year: Select the required year range for the report.
    2. From Period and To Period: For the selected year range, specify which periods to start and end the report. Note that available periods are based on the selected fiscal variant in the report profile.
  8. Set the following fields in the Additional Filters section:
    • Select a Principal Position.
    • Select an Accounting Standard.
    • Select a Posting Category.
    • Select a Currency Type. Note that the available currencies are based on the currencies that are linked to the company codes selected in the report profile. If more than one company code is selected, only currencies that the company codes have in common are available to select.
    • For the remaining filters, select either "All" or "List". If "List" is selected, the corresponding drop down is enabled and you must select one or more objects from that list. Note that "All" is selected by default.
  9. Optionally, select an Object Type and enter Object IDs in the Object List field. Note that the report will only show objects that match both the filters and object IDs entered. Object IDs that do not match the filter criteria are not shown in the report.
  10. Click Add.
  11. Click to download the report.

To create a scheduled report job:

  1. Click Main Menu > GL Balance Reports > Scheduled Jobs.
  2. Click and enter the job information as defined in the previous list.
  3. In the Scheduling section, set the run frequency by selecting one of the tabs ("Hourly", "Daily", "Weekly", "Monthly", or "Yearly") and adjusting the parameters below.
  4. Click Schedule.
  5. Once the job runs, you can download the report on the GL Balance Report Jobs page.

To manage GL Balance Reports:

  1. Click to regenerate the Excel file (if applicable).
  2. Click to refresh the jobs page.
  3. Click to filter the jobs.
  4. Click to cancel a report job.
