Mass Intercompany Transfer

When your organization needs to reassign contracts for operational or structural reasons while ensuring that key financial and contractual information is preserved, you can intercompany transfers to accomplish this task.

With early access to Intercompany Transfer jobs, you can move multiple lessee contracts from one company code to another within the same system in a single operation. This feature must be enabled and configured in Financial Organization Structure.

Before creating an intercompany transfer job, you must complete all postings up to the transfer date you plan to use.

When the job runs, the application:

  • Creates new contracts, lease components, and activation groups under the target company code in the same master agreement.
  • Transfers carryover balances from the original objects.
  • Old activation groups are cut as of the transfer date, and are ready to be put into lease end and closed.
  • Displays "Transferred From" in the header of the new contracts, lease components, and activation groups.

The following conditions exist for intercompany transfers:

  • Transfers can only be performed within the same system.
  • Only active lessee contracts, lease components, and activation groups are transferred.
  • The partners used in the original contracts must also exist in the target company.
  • Contracts and their child objects are skipped if:
    • There are contract, lease components, or activation groups drafts open.
    • Any of the activation groups under the contract is not Active status.
    • The contract uses WBS instead of Cost Centers.
    • The activation group has been split.

Warning: Once you have verified that the contracts, lease components, and activation groups have been transferred properly, you must manually close the old contracts.

If there are any issues, the job can be reverted, bringing the contracts and its child objects back to their original state, as if the transfer had not happened.

To create an intercompany transfer job:

  1. Click Main Menu > Batch Management > Mass Intercompany Transfers > Jobs.
  2. Click .
  3. Enter a Name for the job.
  4. Select the Transfer Date, when the objects will be transferred to the new company. Note that you must complete all postings up to the transfer date you plan to use.
  5. In the General Information section, select "All" or "List" for the following fields. If "All" is selected, all objects within that filter will be selected for the profile. If "List" is selected, select one or more entity must be selected.
    • ERP System Filter
    • Lease Area Filter
    • Business Unit Filter
    • Company Filter
  6. In the Additional Filters section, you have the option of selecting a List Filter Type to manually select specific objects for the job in the Object List.

  7. Click Add. The job appears in the Inter Company Transfer Jobs pane on the left.

Note: If you need to rerun the exact same job (e.g., because the task failed due to missing data in the object), click in the Action column in the Inter Company Transfer Jobs window to clone the job and its inputs, and automatically rerun it.

To start the intercompany transfer job:

  1. Wait until the Status changes to "Pending User Input".

Note: Click at the top of the Inter Company Transfer Jobs or Tasks panes to see updated information.

  2. Under the job Actions column, click to download the Excel file containing the objects matching the job filter.
  3. Modify the Excel file with the information for each object. You must enter the New Company Display ID to indicate where the contract and child objects are transferring to. There is a set of "Current" and "New" columns, allowing you to update information for the transferred objects. Note the following:
    • The column title colors indicate the following:
      • Blue: The combination of these fields uniquely identify the object. Note that if there is more than one row with the same set of identifying values, only the last one is applied.
      • Red: These fields are mandatory and must be filled in.
      • Yellow: These fields are for informational purposes only. If you make any changes to these fields, the job ignores the changes.
      • Gray: These fields are optional.
    • To exclude an object from the job, enter TRUE under the "Exclude" column on the Activation Groups tab.
    • Ensure that when you update the Excel file (especially when you are adding new rows of data), the correct cell formatting has been applied, consistent with the previous rows.
  4. Click to upload your updated Excel file. Once you click Import, the application processes the file and runs the job, displaying all the tasks in the Inter Company Transfer Tasks pane on the right. The Tasks pane shows the progress, as well as the result of the tasks.

Note: If required, click to cancel an intercompany transfer task, which will cancel the objects that have not been transferred yet. Canceling will not undo the objects that were already successfully transferred.

  5. Click on the job row to open the associated Intercompany Transfer Task. The task is complete once the Status column displays "Mass InterCompanyTransfer Done". Under the Actions column of the Tasks pane, click to view the report of the entities that were skipped or failed, or that were successful with warnings. Note that you can sort the columns in the report.

Note: If there is a service interruption that prevents the completion of the job while it is running, the job status changes to "Interrupted". The application will attempt to recover the job as soon as possible. If the job is recovered, it will resume from where it was interrupted. If the job cannot be recovered within the time limit specified in Financial Organization Structure, the status remains "Interrupted" and you must run the job again.

  6. To see the template file you imported, click under Actions in the Inter Company Transfer Jobs window.

Warning: Once you have verified that the contracts, lease components, and activation groups have been transferred properly, you must manually close the old contracts. If there are any issues, you can revert the intercompany transfer by clicking Revert Job in Actions column of the Inter Company Transfer Jobs pane.

To manage intercompany transfer jobs:

  • Click to refresh the jobs.
  • Click to view the input fields used for the job.
  • Click to copy the job. Note that you may have to select a profile that you can use, and you have the option of modifying inputs before starting the new job.
