Field Default Values

Field Default Values allows you to preset values for specific fields when creating objects, either for yourself or for all users of the application. This ensures consistent data entry, saves you time by auto-filling forms, and reduces the chance of errors, which is especially helpful if you have specific settings you use frequently.

There are two types of field defaults that can be created:

  • Global: This field default value applies to all users. Only system administrators can create global field default values.
  • Personal: This field default value only applies to you.

The role assigned to you determines the type of entry you can view or create:

  • System Administrator: You can create and view global and personal level entries.
  • Lease Administrator and Manager: You can create personal levels only, but can view global and personal level entries.

When creating new default value entries, you might need to specify values that one or many other fields (referred to as Conditions fields) must meet for the default value to take effect. Refer to Available Fields for a mapping between fields and their corresponding Conditions fields.

When there are conflicting entries of different types:

  • Locked global entries take precedence and disable any existing personal level entry for the same field.
  • Editable global level entries will be overridden by personal level entries on the same field.

To create a field default value:

  1. Click Main Menu > Admin > Field Default Values.
  2. Click New Field Default Value.
  3. Select the Entity where the field is used.
  4. Select a Field Name.
  5. Click the Global switch if this field default value applies to all users.
  6. By default, the Active switch is enabled, but can be disabled if required. This switch determines if this field default value is active in the application.
  7. Click the Locked switch to prevent anyone from changing the value of the field in object forms.
  8. If this field is conditional, set the Condition value. Note that when selecting condition values, possible default values for the field get filtered accordingly.
  9. Set the Default Value.
  10. Click Save.
