Freeze Company Codes

In large organizations, it is common to restructure business entities—such as decommissioning or selling subsidiaries, or temporarily suspending their financial activity. During these periods, administrators may need to prevent users from creating or modifying any data related to specific company codes.

Administrators can freeze company codes and temporarily suspend all operational activities under them. This helps:

Lock in financial results for audit or reporting purposes.
Stabilize figures during system maintenance, senior management reviews, or negotiations.
Support business combinations or divestitures, where operations under certain entities must stop generating new ROU assets or liabilities.
Prevent data changes during ERP system upgrades or other controlled periods.
Once a company code is frozen, users cannot create, copy, modify, or approve any related records. Only limited actions such as Discard and Close remain possible until the company code is reactivated.

When a company code is frozen, all operational activity linked to it is comprehensively blocked. Users cannot create, copy, modify, approve, or activate any objects such as master agreements, contracts, lease components, or activation groups.

Only a small set of transitions remain available. For most objects, users can still Discard or Close existing objects. These limited actions ensure that users can finalize or cancel in-progress transactions without introducing new financial activity.

Supporting functions such as mass jobs, internal postings, and form management are also blocked while a company code is frozen.

To freeze a company code:

Click Main Menu > System Configuration.
In the ERP System drop-down at the top of the Navigation Panel, select the required system. The application only displays data for the selected system.
Click Master Data > ERP > Company.
Locate the company code you want to freeze, and click the edit icon .
1. In the Status drop-down, select "Decommissioned".
2. Click Save.

Once frozen, all creation, modification, approval, and posting actions under this company code are blocked.

To resume normal activity, locate the frozen company code, change the Status back to Active, and click Save. This restores all standard operational capabilities for that company code.
