Importing HR Master Data from Other ERPs

If you use another ERP or HRIS solution for your HR data, you can bring that data into Nakisa HR Suite by extracting the information from your system, then populating one of the data templates Nakisa provides, and upload your data.

Note: If your environment has positions that report to other positions, use the Position Reporting template.

Note: If your environment has positions that report up into organizational units, use the OrgUnit-Position structure template.

To upload HRIS data for the first time:

  1. Download the DataExtractionSpreadsheet-OOSP or -SSP file from the Available Templates section of the Data Management page, depending on which template suits your environment. Familiarize yourself with the tabs and data it collects.
  2. Extract your HR data from your system and populate the appropriate spreadsheet with it.

    Note: The excel template has a maximum file size of 100MB. Please contact your support representative if your data file is larger than 100MB.

  3. Open the Data Management page (if you have not already) and click Create New Batch. This opens a new tab in the second pane.
  4. Select Effective Dated Excel in the first drop-down menu.
  5. If this is the first time you are uploading your data, select Load Data in the second drop-down menu.
  6. Click the Upload link, navigate to the template you populated, and click Open.
  7. Click Run. This opens up a dialog indicating that this change might not be reversible. Nakisa HR Suite then checks the data you are importing to ensure there are no accidental circular reporting relationships, then starts the import.

  8. Click Run Batch.
  9. Click Recreate Index. This will re-index your source and scenario data.

Tip: After setting up this import configuration and extracting your data for the first time, turn off or delay indexing while the first data batch runs in case the extraction takes longer than the 24-hour interval set up by default.

To upload all subsequent HRIS data:

  1. Download the DataExtractionSpreadsheet-OOSP or -SSP file from the Available Templates section of the Data Management page, depending on which template suits your environment. Familiarize yourself with the tabs and data it collects.
  2. Extract the delta of your HR data from your system (all data added after the last extraction you did) and populate the appropriate spreadsheet with it.
  3. Open the Data Management page (if you have not already) and click Create New Batch. This opens a new tab in the second pane.
  4. Select Effective Dated Excel in the first drop-down menu.
  5. Select Upload Data in the second drop-down menu.
  6. Select Update or Insert to update the talent information in your existing employee records without overwriting any of the other HCM data.
  7. Click the Upload link, navigate to the template you populated, and click Open.
  8. Click Run. This opens up a dialog indicating that this change might not be reversible. Nakisa HR Suite then checks the data you are importing to ensure there are no accidental circular reporting relationships, then starts the import.

  9. Click Run Batch.
  10. Click Recreate Index.

To abort an upload:

If you wish to abort an upload of HRIS data duing the upload process, click the Abort Running Batch button. A popup window will apprear to confirm the abort batch.

Note: If the upload process is in the writing the data into the database stage, the abort process can lead to data corruption and will require a full upload when running the batch again.

Once the upload has been successfully aborted, the batch will have Aborted in the status.
