Intercompany Transfers

Intercompany transfers allow organizations to reassign contracts from one company code to another while preserving key financial and contractual data. Note that this feature must be enabled and configured in Financial Organization Structure.

Using an intercompany transfer job, users can transfer multiple lessee contracts in a single operation (to the same master agreement or a different one). During the transfer, the system creates new contracts, lease components, and activation groups under the target company code while carrying forward balances from the original objects.

Transfers can occur:

  • Within the same ERP system
  • Between different ERP systems when the appropriate mappings are provided

The transfer process is executed through a batch job that uses an Excel template to define the transfer details.

Note: Before creating an intercompany transfer job, you must complete all postings up to the transfer date you plan to use.

When the job runs, the application:

  • Creates new contracts, lease components, and activation groups under the target ERP system, company code, and master agreement.
  • Transfers carryover balances from the original objects.
  • Old activation groups are cut as of the transfer date, and are ready to be put into lease end and closed.
  • Displays "Transferred From" in the header of the new contracts, lease components, and activation groups.
  • Uses the posting date and document date defined for the transfer job and applies them to the transfer processing.

Transfer Conditions

The following conditions exist for intercompany transfers:

  • Transfers can be performed within the same system or between configured ERP systems.
  • Only active lessee contracts, lease components, and activation groups are transferred.
  • The partners used in the original contracts must also exist in the target system and must be mapped one-to-one in the Excel template when required.
    • The number of partners and their split percentages cannot change.
    • If tax distribution exists across partners, the same distribution percentages are preserved.
  • A contract can be transferred between WBS and cost center allocation when the corresponding values are provided in the Excel template.

Contracts and their child objects are skipped if:

  • Any of the activation groups under the contract is not Active status.
  • The activation group has been split.
  • Optionally, if there are open drafts for the contract, lease component, or activation group.

Warning: Once you have verified that the contracts, lease components, and activation groups have been transferred properly, you must manually close the old contracts.

If there are any issues, the job can be reverted, bringing the contracts and its child objects back to their original state, as if the transfer had not happened.
