Activating Workflows

A workflow can be either have an active or inactive status. Active workflows are currently being used and cannot be modified, while inactive workflows are not used and can be modified. Note that if the submission is not associated to an active workflow, you cannot create submissions, perform modifications, or transition workflow steps.

Workflows are assigned to lease areas, business units, and companies. In order to determine which workflow a submission uses, the application first checks if there is an active workflow with the specific company defined. If one is not found, the application checks for a workflow that applies to all companies and specific business units. This continues up until an active workflow that applies to all lease areas, business units, and companies is found.

Workflows can be defined for specific lease areas, business units, and companies, as well as for all objects at each hierarchy level. The application first checks if there is an active workflow defined for the specific company, then business unit, and finally lease area. A workflow for specified objects take precedence over a workflow that is defined for all objects of a hierarchy level. Note that you cannot activate workflows with conflicting hierarchy objects defined.

All newly created workflows are inactive, and must be activated in order to be used. In order to modify an existing active workflow you must first deactivate it and make changes, before activating it again.

To activate or deactivate a workflow:

  • Click Application Menu > Administration > Workflows.
  • Navigate to the required workflow.
  • If required, you can modify the lease area, business unit, or company assigned to the workflow by clicking Context Menu > Edit.
  • Click Context Menu and select either Active or Inactive.
