About the Audit Log

The Audit Logs list all of the changes that have been made, the user who made the change, and when it was done. The following logs are available:

  • Master agreement log, which contains changes made to the MLA and to the attached contracts. Note that changes to all other objects below the contracts are not logged.
  • Contract log, which contains all of the changes made to the contract, and to the lease components, activation groups, and units below it.
  • Lease component log, which contains all of the changes made to the lease component, and to the activation groups and units below it.
  • Activation group log, which contains all of the changes made to the activation group and to the units below it.
  • Batch log, which contains all of the changes made to the batch (e.g., who created the batch, or when the batch was last run). The log records whether a batch was successfully run, however the outcomes of batch tasks (e.g., whether the postings were successful) are not recorded.
  • Application-level audit log viewer allows you to view the content of all of the available audit logs from a single location.

    Tip: If an object (e.g., contract, batch) is deleted, the log entries from deleted objects can be viewed in the Audit Log Viewer.

Note: Changes made to an open draft can only be viewed in the Audit Logs after the draft is merged back to the master version. Note that changes made to drafts that are never merged (i.e., the draft is deleted or discarded) are not available in the logs.

Note: If an indexation is performed with the Floating Indexation checkbox selected through either a batch or default configuration, the event is always recorded in the Audit Logs as a floating indexation even if lease is classified under IFRS 16. This checkbox only applies to ASC 842 or GASB 87 leases, and therefore the floating indexation field in the logs can be ignored for leases operating under a different accounting standard.

Warning: The Audit Logs do not record new objects created or changes performed through Excel uploads or mass imports. Postings are also not recorded in the Audit Log, however you can use Transaction Exports to have a record of these postings.

By default, the audit log rolls over 30 days or when the log reaches 100,000 entries.

Note: Due to how the data is stored, there may be multiple line entries logged for the same action.

The audit log can be exported to an Excel file. By default, Excel exports are limited to 5000 items.

Note: Audit logs are disabled by default. Contact your system administrator to enable this feature, if required.

To view the Audit Logs:

  1. The Audit Log can be displayed from the object's context menu or from the main menu.
    • Load the master agreement, contract, lease component, activation group, or Batches List page and click Context Menu > Audit Log.
    • Alternatively, click the main menu and click Audit Log Viewer in the left panel.
  2. The Audit Log page opens. Use the page controls to view all of the entries in the log.
  3. Click on an audit log entry to view more details.

    Note: The log details may contain entries for certain database fields that are not available in the application UI. These entries can be simply ignored.

  4. To use filters, click . Audit Logs can be filtered by date, Action, user, or Object type. Select the chosen filters. The corresponding logs are displayed in the Audit Log Viewer.

    Tip: If the amount of users in a filter reaches the display limit, a + button appears allowing you to search and add additional users.

  5. If required, click to export the audit log into an Excel file.
    1. When the download is complete, an alert appears in the Notification Center . Click the alert to open the file.
    2. If required, use Save As to re-save the file.
