Work Areas

In a scenario, you can create work areas to help organize the org chart, safely delegating pieces of a scenario to other users, supporting clearer analysis and collaboration. Each person only sees and edits the part they are responsible for, while you keep full visibility and control. This is useful when modeling organizational changes that span multiple functions, regions, or business units.

For example, a company is restructuring its operations into three functional groups: Sales, Operations, and Support.

  • All Sales-related positions are assigned to the Sales Work Area.
  • Operational roles are grouped under the Operations Work Area.
  • HR and IT roles are assigned to the Support Work Area.

This allows users to clearly visualize how responsibilities are distributed across the organization within the scenario.

Key behavior:

  • Work Areas are defined at the scenario level and can be applied to one or more positions (in position reporting structures) or org units (in org unit reporting structures).
  • All work areas and their assigned owners are listed in the Work Areas tab of the scenario.
  • Assigning a work area does not change reporting relationships or hierarchy.
  • The assigned owner will only have access to this specific structure within the scenario, and their permissions will be limited to movements and changes made within this area.
  • The same org chart node can appear in multiple work areas. Any changes made by the scenario owner or any work area owners are reflected in the other work areas and main scenario.

Note: A work area owner can create additional work areas within their assigned structure to further delegate responsibility. Any new work area must be created from a node that exists within their own work area, and the newly assigned owner will only have access to that substructure. This allows responsibility to be distributed across multiple users while preserving the scenario owner’s full visibility and overall control.

To create a work area:

  1. You can create work areas from different areas in the scenario. Open the required scenario, and follow one of the following options:
    • On the Overview tab, click Create a new work area.
    • On the Org Chart tab, locate the position (for position reporting structures) or org unit (for org unit reporting structures) that should be the root node of the work area. Right-click the node and select Add Work Area.
  2. In Create from, search for a position or org unit if it is not set yet.
  3. Optionally, edit the auto-populated Work area name.
  4. In Owner field, search for the employee that is responsible for this work area. Note that if you select someone who does not have access to this area of the structure, they will not be able to access the work area.
  5. Click Create. The work area is added to the Work Areas tab, which lists all of the different work areas created for this scenario. A notification is sent to the assigned owner.
  6. Optionally, you can open the work area and update the Work area objectives on the Overview tab to communicate what the goal of this work area is to the assigned owner.

To edit a work area assigned to you:

  1. Open the work area assigned to you by either:
    • Clicking on the notification
    • Navigating to the Shared with you tab on the landing page, and opening the work area from the list.
  2. On the Org Chart tab, you can only view the relevant nodes associated to the root of the work area. You can move, modify, assign, or create positions and individuals, but only in accordance with the permissions tied to your role.

Note: You cannot access any structures outside of your assigned work area, and you do not have the ability to remove the current root.

  3. On the Changes tab, after clicking the Refresh icon , you can see the changes relevant to your designated work area, regardless of who made the change (e.g., the scenario owner, or another user with an overlapping work area). Any modifications made outside of your assignment remain inaccessible to you.
  4. At any point, you can message the scenario owner in Discussions to discuss your progress, or any other user as long as they are already added as a Collaborator.

To finalize your work area:

  1. Once you have completed your work area, it must be sent for approval following the same process as scenario approvals.
