Disclosure Reports

VP of Leasing, Accountants, Business Owners, and Financial Disclosure Reporting users can view the Disclosure Reports page to produce a summary report that provides the necessary information to prepare the required disclosures according to the accounting standards.

The following table indicates which reports are supported for each accounting standard:

Note: GASB 87 reporting is disabled by default. Contact your system administrator to enable these reports if they are required.

The report provides a contract listing where the amounts are displayed by contract, in the contract and target currency. The report also details the appropriate foreign currency rates used by the application (including alternative exchange rates and reference currencies).

Reports can be generated in the functional currency if a single company code is selected, or in presentation (group) currency when more than one company code is selected. If required, additional group reporting currencies can be configured. Contact your system administrator for more information.

The Disclosure report contains the following information:

  • Lease Liability Report: Presents the future finance charges split between short and long term as well as the short and long term principal liability balances as at the reporting period. Note that low value, short term, and service contracts are not included in this report.

    Note: If the report is generated for a period for a lease event was entered, the application uses the version of the financial schedule valid at that time to generate the report (and not the latest version of the schedule, which includes the changes due to the event).

  • Weighted Average Discount Rate (WADR) Report: Presents the WADR for each lease based on the discount rate used to calculate the lease liability balance at the reporting date and the remaining lease payments. The WADR under US GAAP is calculated separately for finance and operating leases. Note that low value, short term, and service contracts are not included in this report.
  • Weighted Average Lease Term (WALT) Report: Presents the weighted-average remaining lease term for each lease contract based on the remaining lease term and the liability balance as at the reporting date. The WALT under US GAAP is calculated separately for finance and operating leases. Note that low value, short term, and service contracts are not included in this report.
  • Maturity Analysis Report: Presents the undiscounted remaining future lease payments on an annual basis for five years and a total of the amounts for the remaining years as at the reporting period. The First Year column shows payments for the next 12 periods, starting from the day after the selected "Period End" date for the report. It includes a reconciliation of the undiscounted cash flows to the finance lease liabilities and operating lease liabilities. Note that low value, short term, and service contracts are not included in this report.

    Note: If the report is generated for a period for a lease event was entered, the application uses the version of the financial schedule valid at that time to generate the report (and not the latest version of the schedule, which includes the changes due to the event).

  • Maturity Analysis Report by Cal Year: Presents the undiscounted remaining future lease payments on an annual basis for five years and a total of the amounts for the remaining years as at the reporting period. The new report is generated on a yearly basis, starting January 1st. The First Year column shows the remaining payments in the same calendar year as the selected “Period End” date. For example, if the period end date is June 30th, 2018, then it will show payments from July 2018 to Dec 31st, 2018, and then for every following year (starting January 1st) until the end of the contract. It includes a reconciliation of the undiscounted cash flows to the finance lease liabilities and operating lease liabilities. Note that low value, short term, and service contracts are not included in this report.

  • ASC 842/IFRS 16/GASB 87 Cash Flow Report: Presents a summary of the impact to the cash flow statement during the reporting period. This summary includes cash paid for amounts included in the measurement of the lease liabilities, segregated between operating and financing cash flows. Note that service contracts are not included in this report.
  • ASC 842/IFRS 16/GASB 87 Expense Report: Presents a summary of the impact to the income statement during the reporting period. This includes interest expense, average lease expense, ST lease expense, low value asset expense, and variable lease expense.
  • Asset Roll Forward Report: Presents a yearly summary of the ROU asset for the remaining lease term. Note that low value, short term, and service contracts are not included in this report.
  • Non-Lease Charges Expense Report: Presents a summary of the impact to the income statement due to non-lease charges in the contracts.

To generate the report:

  1. Click Main Menu > Compliance ReportsDisclosure Reports.
  2. Set the filters for the report. Note that these drop-down fields are searchable, show a maximum of 10 results at a time, and do not allow special characters.
    • Reports: Select one disclosure report type to generate.
    • System: List of all of the systems (SAP ERPs or standalone) configured for the application.
    • FY Variant: List of all fiscal year variants for the selected System.
    • Contract ID: Open field for users to enter a specific contract IDs (up to a maximum of 50 comma-separated IDs), if required. If the field is empty, the application returns all contracts that match the other filter fields.
    • Lease Area: List of all of the lease areas available in the selected System.
    • Business Unit: List of all of the business units in the selected Lease Area and System.
    • Company Codes: List of all of the company codes available in the selected Lease Area, Business Unit, FY Variant, and System.
    • Currency: Select the currency in which the report should be generated. Note that this field must be set.

      Note: If the list is empty, then there is no currency common to all Company Codes selected.

    • Vendor: List of all of the vendors available in the selected System and Company Code.
    • Lease Department: List of all of the lease departments available in the selected Company Code.
    • Lease Group: List of all lease groups available in the selected Lease Department.
    • Lease Type: List of all lease types.
    • Profit Center: List of all profit centers available in the selected Company Code.
    • Cost Center: List of all cost centers available in the selected Company Code.
    • Business Area: List of all business areas available in the selected Company Code.
    • Activation Group Status: Select whether the report should include activation groups in specific statuses, or all statuses.
    • Accounting Standard: List of all the accounting standards (by ID) available for the selected Company Code. (To also display the Accounting Standard Type, contact your system administrator.) Note that for certain reports (listed in the table above), only the new accounting standards are supported.
    • Classification: List of all the classification types available for the selected Accounting Standard.
    • Asset Class: List of the Internal Asset Classes available for the selected Company Code.
    • Year Start and Year End: Select the required year range for the report.
      • Period Start and Period End: For the selected year range, specify at which period to start and at which period to end for the generated Disclosure Report.

    Note: If the fields do not show any options, it means that there are no valid options based on the other filters set.

  3. If required, modify the Report Format of the generated report. This can be set to either the standard XLS format, or a CSV format with limited formatting.

    Note: In the CSV Report Format, large numbers may be displayed in scientific format. In this case, change the cell format to "Number" to display the full number.

  4. Optionally, click Save Filter to save the current filter and report format settings. You can have a maximum of 25 saved filters at one time in the Disclosure Reports.
    • To use a previously saved filter, click Use Saved Filter and select the required filter.
    • To update a saved filter, re-save a filter with the same name as the saved filter.
  5. Click Generate. Wait for the report to be generated in the "Reports" section. Note that if there are any mandatory fields that are empty, they will be highlighted in red.
    • To stop and delete the report while it is generating, click .
  6. To view the disclosure report, export the report by clicking .
    • To delete the report, click .
    • Note that the report will indicate if certain contracts were excluded from the calculations (e.g., no exchange rate was found for the conversion from the contract currency to the selected report currency).
    • For files with an XLS report format, use Save As to resave the file as an Excel 97-2003 Workbook .xls file (instead of the generated html file).
  7. If required, click above the Reports section to delete all generated reports. This button deletes all scheduled and manual reports that you have previously generated.
