Submission Cards

The submission cards displayed at the top of the page contain sets of informational fields for the submission. Cards with editable fields are indicated with an edit icon at the top right of the card.

To define the submission cards:

  1. Click Main Menu > Submissions.
  2. Select a submission to open the Submission Detail page.
  3. Sets of cards with informational fields are displayed at the top of the page. To modify editable fields, click the edit icon at the top right of the card (if available).

  4. The following fields are in the General Info section:
    • The ID is automatically generated.
    • The Project, Year, Lease Area, System, and Company fields were set when the submission was created.
    • The Status field displays the current status of the submission.
    • If the submission was related to an existing submission, the ID of the Parent Submission is displayed in this field as a clickable link.
  5. The Year Start and End section contains a set of editable fields that can be used for informational purposes to display forecast and actual start and end years for the submission. By default these fields are set to the selected Year of the submission and are not automatically updated.
    • Forecast Year Start
    • Forecast Year End
    • Actual Year Start
    • Actual Year End
  6. The following fields are in the Activity Log section:
    • The Last Modified field displays the user who last modified the submission, as well as the date it was modified.
    • The Created field displays the user who created the submission, as well as the date it was created.
    • Optionally, enter the Sponsor, which can indicate the executive sponsor for the submission.
  7. The Currency section displays information about the currencies and exchange rates related to the submission:
    • The Company Currency and Reporting Currency is displayed in the respective fields.
    • The Inception Exchange Rate field displays the exchange rate from company to reporting currency used when the submission passes through certain workflow transitions (based on your workflow configuration).
    • The Weighted Average Rate field displays weighted average exchange rate used to convert amounts from company to the reporting currency. Note that this rate is typically equal to the exchange rate used at inception, and is recalculated only when an expense is registered that increases the value of the available submission amount.
  8. The Project Groups section contains additional informational drop-down fields. These field options can be configured, contact your system administrator for more information.
  9. The Amounts section displays information about the approved and expensed amounts in the submission.
    • Original Requested Amount: The amount originally requested when the submission was first approved.
    • Modified Amount: The total amount modified after the submission was approved.
    • Total Requested Amount: The total amount requested, i.e., the sum of the two previous fields.
    • Total Expense: The total amount expensed towards the submission.
    • Current Available: The current approved budget amount after expenses.
  10. The Project Description and Project Justification can be modified, if required.
