Company

Functional Administrators can edit and add company codes in the Company table.

Note: If you are using the SystemConfig_Template.xlsx to upload Company configuration, there must be one entry for every company code and business unit combination.

To add companies to systems:

  1. Navigate to System ConfigsSystem.
  2. Click on the row for the required system. The system name is now displayed next to "System" in the configuration tree.
  3. Navigate to System ConfigsSystem > Company.
  4. Click the Action Menu > Add. Enter the following information:
    • Company Code: Type the company code value.

      Warning: If connecting to an SAP ERP, this company code must exist in the SAP system.

    • If the application is not connecting to an SAP ERP, enter values for the fields Description, Country, FyVariant, and Currency. If you sync the system with SAP, these values will be overridden.
    • Posting Start Date: Select when the application can start posting to the SAP ERP. Any postings triggered from the application with Document Dates that are earlier than the Posting Start Date will be only be written to internal tables. The application first checks if there is a posting start date per classification. If there is no configured date, then the application verifies if dates have been configured in one of the following fields:
      • Leading Posting Start Date
      • Secondary Posting Start Date
      • Third Posting Start Date
      • Fourth Posting Start Date

      If no dates have been configured per classification or accounting standard, the application uses the Default Posting Start Date to determine whether to post to SAP or not.

    • VendorInvoice: This field sets the default value for the "Generate Vendor Invoices" in each contract created with this company code. Select this field to generate invoices against a vendor (and post to Accounts Payable). Otherwise, the application posts to a clearing account.
    • TrackCosts: This field sets the default value for the "Track Costs" field on the contract Accounting page. The field can be modified at the contract level. Tracking costs will generate internal orders. By default, this field is not selected.
    • The Accounting Standard fields should be selected only once the system has been synced.
    • In the field Classification % of Term, set the threshold used when the application determines the suggested classification. The application compares (lease term)/(asset useful life)*100 against this threshold.
    • Classification % of FMV, set the threshold used when the application determines the suggested classification. The application compares PVMLP/FMV*100 against this threshold.
    • Chart of accounts: This field must configured correctly to be able to correctly sync GL accounts from SAP.
    • Enable Finance Depreciation: This field determines whether (straight-line) asset depreciation postings for finance leases in the new standard (ASC 842, IFRS 16, or GASB 87) are enabled for this company code. If depreciation postings are done by the application, the Finance ROU asset classes have to be set up as “MANU” in SAP.
      • GLOBAL: By default, this field is set to GLOBAL, and the application uses the Posting Setting switches Asset Depreciation Postings Finance IFRS & GAAP and Asset Deprecation Postings Finance GASB to determine if finance depreciation postings are enabled or not for this company.

        Note: If this configuration is exported to Excel, GLOBAL is equivalent to a blank value.

      • YES: Finance depreciation postings are enabled for this company. The application ignores the switches "Asset Depreciation Postings Finance IFRS & GAAP" and "Asset Deprecation Postings Finance GASB".
      • NO: Finance depreciation postings are disabled for this company. The application ignores the switches "Asset Depreciation Postings Finance IFRS & GAAP" and "Asset Deprecation Postings Finance GASB".
    • Fiscal Period Offset: If the fiscal year does not start on January 1st, enter the offset in this field. If the fiscal year starts later than the regular calendar, then the offset should be negative (because the start of the fiscal year is delayed). If the fiscal year starts early, then the offset should be positive. The fiscal year and period are displayed in the Document window, in the fields "Fiscal Year" and "Period Count".
      • For example, if the fiscal year starts late with September 2020 equivalent to fiscal period 1 and fiscal year 2020, the offset is -8. Any posting in September 2020 will have the fiscal period 1 and the fiscal year 2020. Any posting in January 2021 will have the fiscal period 5 and the fiscal year 2020.

      • For example, if the fiscal year starts early with September 2020 equivalent to fiscal period 1 and fiscal year 2021, the offset is +4. Any posting in September 2020 will have the fiscal period 1 and the fiscal year 2021. Any posting in January 2021 will have the fiscal period 5 and the fiscal year 2021.

      Note: When the switch "Read Period from SAP after Posting" on the Other SAP Settings page is enabled, the application gets the fiscal period and fiscal year from SAP (and does not use the Fiscal Period Offset field).

    • Hybrid Connection (Override SAP Connection): When the "Connection Type" field is set to "SAP" in the System table, the connection type can be overridden at Company-level to be Hybrid by selecting this checkbox.
    • Posting Mode: This field overrides the setting in the System table. It determines if document postings are handled solely by Nakisa Lease Administration, or if ERP Posting Bots are also used:
      • "SYSTEM_SETTING": The company uses the setting configured at system-level.
      • "NATIVE": The application posts directly to SAP for SAP systems, or generates internal documents for hybrid and standalone systems.
      • "SAP_POSTING_BOT": If the SAP Posting Bot is installed and running, it will pick up internally generated posting documents for this system and post them to GL accounts in SAP.
    • Posting Bot Start Date: Set the start date for the SAP Posting Bot if the Posting Mode is set to "SAP_POSTING_BOT" (at either system or company level). The bot selects all internally generated posting documents with Posting Dates on or after the configured start date, and transfers the posting to the SAP ERP. This field overrides the one configured in the System table.

      Note: The Posting Bot also considers the SAP Posting Start Date (per classification, accounting standard, or company) to determine whether it should post documents to SAP, but compares the Posting Date instead of the Document Date.

  5. Click Submit.
  6. Sync the system to retrieve all of the information from the SAP ERP. Note that all of the tables below the Company can now be configured.
  7. Click to complete the required configuration.
  8. Select the Leading Accounting Standard and as many of the Secondary, Third, or Fourth Accounting Standards.
  9. Click Submit.

To modify an existing company:

  1. Navigate to System ConfigsSystem.
  2. Click on the row for the required system. The system name is now displayed next to "System" in the configuration tree.
  3. Navigate to System ConfigsSystem > Company.
  4. To edit an existing company, click for the required row.

    Note: Users are blocked from manually modifying companies that have been frozen.

  5. Modify the fields as required.

    Note: Do not add new accounting standards if contracts have already been created in the company code.

  6. Click Submit.
